Booking Terms & Conditions

These terms should be reviewed by a UAE-qualified lawyer before use with clients.
1. About These Terms
These Booking Terms and Conditions (“Terms”) govern the arrangement of hosted hunting adventures (“Trips”) by Huntica (Meydan Free Zone, Dubai, United Arab Emirates) (“we,” “us,” “our”) for clients (“you,” “your”). By confirming a booking with Huntica, you agree to these Terms.
Huntica acts as a hosted hunting agency — we design, coordinate, and host hunting adventures on your behalf using carefully selected third-party outfitters, lodges, professional hunters, and service providers (“Partners”). Huntica is not the operator of the hunting concession, lodge, or ground transportation unless explicitly stated.
2. Booking and Confirmation
2.1 A booking is confirmed when:
- You have received and accepted a Huntica Trip Proposal
- You have paid the required deposit (see Section 3)
- You have received written confirmation from Huntica (email or WhatsApp)
2.2 Trip proposals are valid for 14 days from the date of issue unless otherwise stated. Pricing and availability are subject to change until a deposit is received and confirmation is issued.
2.3 By confirming a booking, you confirm that:
- All information provided is accurate (names, passport details, contact information)
- You hold a valid hunting license for your country of residence (where applicable)
- You are physically fit to participate in the type of hunt described in the Trip Proposal
- You have read and understood these Terms
3. Payment Terms
3.1 Deposit: A non-refundable deposit of 30% of the total trip investment is required to confirm a booking. The deposit is due within 14 days of booking confirmation.
3.2 Balance payment: The remaining 70% of the trip investment is due no later than 60 days before the trip departure date.
3.3 Late bookings: For trips booked less than 60 days before departure, the full trip investment is due at the time of booking.
3.4 Payment methods: Bank transfer (SWIFT). Payment details are provided on the invoice. All payments must be received in the currency stated on the invoice.
3.5 Currency: Trip investments are quoted in Euros (€) unless otherwise agreed. Exchange rate fluctuations between the date of quotation and the date of payment are the responsibility of the client.
3.6 Trophy fees: Where trophy fees are payable in addition to the trip investment (as specified in the Trip Proposal), these are settled directly with the outfitter at the end of the hunt or invoiced separately by Huntica. Trophy fee arrangements are detailed in each Trip Proposal.
4. What Is Included and Excluded
4.1 Each Trip Proposal specifies what is included and excluded for that specific trip. In general:
Typically included
- Huntica hosting services for the full duration of the trip
- Accommodation as specified
- All meals and non-alcoholic beverages at the lodge
- Daily guided hunting with professional hunters and trackers
- Ground transportation between the airport and the hunting area
- Species and trophy fees as specified in the Trip Proposal
Typically excluded
- International and domestic flights
- Travel insurance (mandatory — see Section 8)
- Taxidermy, trophy shipping, and export fees
- Firearms import permits and temporary licences (Huntica coordinates; fees paid by client)
- Tips and gratuities
- Alcoholic beverages (unless specified)
- Personal purchases and expenses
- Additional trophy fees for species not included in the Trip Proposal
- Visa fees (where applicable)
4.2 The specific inclusions and exclusions for your trip are those stated in your Trip Proposal, which take precedence over this general list.
5. Cancellation by the Client
5.1 Cancellations must be communicated in writing (email) to your Huntica host or to dennis@huntica.co.
5.2 Cancellation charges:

5.3 These charges reflect the commitments Huntica makes to Partners on your behalf. Outfitters, lodges, and guides are reserved and often paid in advance.
5.4 If Huntica is able to fill your place with another client, we will refund any charges above the deposit, less any non-recoverable costs incurred.
5.5 We strongly recommend trip cancellation insurance (see Section 8).
6. Cancellation or Changes by Huntica
6.1 Huntica reserves the right to cancel or modify a trip due to:
- Safety concerns (political instability, natural disaster, health emergency)
- Regulatory changes (hunting bans, permit withdrawals, travel restrictions)
- Outfitter or destination failure (loss of concession, operational issues)
- Force majeure events
6.2 In the event of cancellation by Huntica:
- We will offer an alternative trip of comparable quality and value, OR
- We will provide a full refund of all payments made, less any non-recoverable third-party costs already incurred
6.3 Huntica is not liable for costs incurred by the client beyond the trip investment (flights, accommodation, equipment, etc.).
6.4 Minor itinerary adjustments (changes to daily schedule, hunting areas, or lodge arrangements) may be made by Huntica and the outfitter based on weather, game movement, or safety considerations. These are inherent to hunting and do not constitute a material change to the trip.
7. Client Responsibilities
7.1 You are responsible for:
- Valid passport with at least 6 months’ validity beyond the trip end date
- All required visas and entry permits for the destination country
- A valid hunting licence for your country of residence (where required by the destination)
- Compliance with all local hunting laws and regulations in the destination country
- Compliance with firearms import and export laws
- Adequate physical fitness for the type of hunt described in the Trip Proposal
- Honest and timely communication of any medical conditions, dietary requirements, or accessibility needs
7.2 Huntica will assist with and coordinate firearms permits, hunting licences, and travel logistics — but the legal responsibility for compliance rests with the client.
7.3 You agree to follow the instructions of the professional hunter, guide, and Huntica host at all times during the hunt, particularly regarding safety, firearms handling, and ethical conduct.
8. Insurance
8.1 Travel and trip cancellation insurance is mandatory. You must hold valid insurance that covers, at minimum:
- Trip cancellation and interruption
- Emergency medical treatment and evacuation (including air evacuation from remote areas)
- Personal accident and liability
- Loss or damage to personal equipment and firearms
8.2 Huntica recommends specialist hunting travel insurance providers. Ask your Huntica host for recommendations.
8.3 Proof of insurance may be requested before departure.
9. Assumption of Risk
9.1 Hunting involves inherent risks including but not limited to: firearms use, exposure to wild animals, remote terrain, variable weather conditions, physical exertion, and travel in developing countries.
9.2 By confirming a booking, you acknowledge that you understand and accept these inherent risks.
9.3 You agree to hold Huntica, its co-founders, employees, agents, and Partners harmless from any claims arising from the inherent risks of hunting, travel, and outdoor activities — except in cases of proven negligence by Huntica or its Partners.
9.4 A separate Assumption of Risk and Liability Waiver may be required for specific destinations and will be provided before departure.
10. Trophy Handling and Export
10.1 Huntica coordinates trophy handling, dipping-and-packing, and export documentation as part of the hosted service.
10.2 Trophy export is subject to the laws of the destination country and the import laws of your home country. Regulations can change with limited notice. Huntica will advise on current requirements but cannot guarantee that import permits will be granted by your home country’s authorities.
10.3 Taxidermy, international trophy shipping, and import duties/fees are the client’s financial responsibility unless explicitly included in the Trip Proposal.
10.4 Trophy shipping timelines vary by destination and species (typically 6–18 months). Huntica coordinates the process but does not control third-party shipping and customs timelines.
11. Photography and Content
11.1 Huntica may photograph and film during trips for use in marketing, social media, website, and promotional materials.
11.2 If you do not wish to appear in Huntica’s marketing materials, please inform your Huntica host in writing before the trip.
11.3 Huntica maintains strict standards around hunting photography. No graphic or disrespectful trophy images will be published by Huntica. We ask clients to exercise the same standard on personal social media.
12. Data Privacy
12.1 Huntica collects and stores personal data (name, contact details, passport information, travel preferences, dietary requirements) for the purpose of trip coordination and client relationship management.
12.2 Your data may be shared with Partners (outfitters, lodges, transport providers, permit authorities) to the extent necessary to deliver your trip.
12.3 Huntica does not sell or share client data with third parties for marketing purposes.
12.4 Huntica complies with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL) and, where applicable to EU-based clients, the General Data Protection Regulation (GDPR). You have the right to access, correct, or delete your personal data by contacting dennis@huntica.co.

13. Complaints and Disputes
13.1 If you are dissatisfied with any aspect of your trip, please raise it with your Huntica host immediately — we want to resolve issues in the field, not after the fact.
13.2 Formal complaints should be submitted in writing to dennis@huntica.co within 30 days of the trip end date.
13.3 Huntica will respond to all formal complaints within 14 days.
13.4 These Terms are governed by the laws of the United Arab Emirates. Disputes that cannot be resolved amicably shall be submitted to the courts of Dubai, United Arab Emirates, or at Huntica’s discretion, referred to arbitration under the rules of the Dubai International Arbitration Centre (DIAC).
14. Amendments
14.1 Huntica reserves the right to update these Terms. The version in effect at the time of booking applies to that booking.
14.2 Material changes to Terms will be communicated to clients with active bookings.
